Procedure
- When a resident moves out of their apartment, obtain apartment keys, mailbox keys and other site-specific keys including but not limited to:
- Fitness Center pass or key
- Pool Pass or key
- Parking associated materials (gate transmitters, garage door openers)
- Laundry room cards and keys
- Storage locker keys
- Return all keys to the key lock box.
- Review the account ledger with the resident vacating the apartment.
- Have the resident complete the Move Out Key Receipt.
- Verify the information.
- Provide a copy to the resident.
- Attach a copy to the Resident record in Yardi.
- Place a copy in the Resident’s file, if applicable.
- Forward the resident file to the Property Manager for review and processing.
- The Maintenance Supervisor will complete the MIQ Move Out Inspection which was automatically created at the time the Notice to Vacate was posted.
- Provide the Maintenance Supervisor with the original Apartment Inspection Report from the resident’s file.
- The MIQ Move Out Inspection should be completed within 48 hours of the move out.
Completing the Move Out
From the Voyager Dashboard, click the Move Out link.
The Move Out table displays on the bottom portion of the window.
From the Move Out table, click the Move Out action button that corresponds to the resident you wish to move out.
A confirmation message appears asking if you are sure you want to move the resident out.
Click OK.
The Resident record will display the message ‘Status has been changed’ and the Status is changed to ‘Past’.
Adjusting a Move Out Date
From the Voyager Dashboard, click the Move Out link.
The Move Out table displays on the bottom portion of the window.
Click the Adjust Dates button in the same row as the resident you wish to change the move out date for.
The Notice screen appears.
Complete the following fields:
- Move Out Date – Enter the new move out date
- Reason for Move Out – Change the reason for move out, if applicable
Click Save.
If applicable, adjust the Rent Responsibility date in the Charge-Through Date screen.
Navigation: From the Resident Record > Function > Charge-Through Date
Canceling a Move Out
Obtain written notification of intent to cancel the move out.
Provide the new lease terms and execute a new lease agreement or lease extension to the resident.
From the Voyager Dashboard, click the Move Out link.
The Move Out table displays on the bottom portion of the window.
Click the Cancel Notice button in the same row as the resident you wish to cancel the move out.
The Resident record appears. A message displays indicating the resident’s status has been changed.
Verify all lease charges and dates are accurate for the new lease term. From the resident screen, under Data, click Lease Charges.
If applicable, remove the Rent Responsibility date in the Charge-Through Date Screen.
Navigation: From the Resident Record > Function > Charge-Through Date
Attach all documents to the Resident record and file all documentation and executed lease agreements in the resident file.
